In many cases, the built-in Snipping Tool on your computer is sufficient without the need to install a separate program. Both Windows and Mac offer a free built-in capture function that can be used immediately to inquire about error screens or to save receipts and reservation screens.

  • Windows — Snipping Tool: Windows Key + Shift + SPressing it darkens the screen and displays the capture bar. Select your desired method from Rectangle, Freeform, Window, or Full Screen, and drag to copy the image to the clipboard. Immediately Ctrl + VYou can paste it into messages or documents, and clicking the notification allows you to add markings with a pen or highlighter. In Windows 11, on the same bar Windows Key + Shift + RYou can also record the screen.
  • Windows — Save to full screen immediately: Windows Key + Print ScreenIf you press it, the entire screen becomes a PNG file Photos > Screenshots It is automatically saved to a folder. It is useful for quickly saving multiple copies.
  • Mac — Partial Capture: Command + Shift + 4Press and drag the desired area. Press the spacebar to switch to window-based capture. Command + Shift + 3It is full screen, Command + Shift + 5opens the Snipping toolbar (including Full, Window, Part, Record, and Timer). Mac captures are saved as PNG files on the desktop by default.
  • Usage Tips: Capturing only the necessary parts rather than the entire screen makes it easier for the recipient to grasp the content at a glance. When sending an error screen, capture it so that the error message and menu name are visible, and it is safer to cover or crop out any parts containing account numbers, passwords, or personal information before capturing.

While separate programs are sometimes necessary, basic tools are sufficient for everyday screen capturing. Learning just a couple of shortcuts first will make using the computer much easier.
